Job Description

Work Location: Providence Rhode Island 02912 (onsite 100% of the time to start – flexable with hybrid schedule after training)

Pay Range: $20/hr-$27/hr; the pay rate may differ depending on your skills, education, experience, and other qualifications.

Job Description:

  • Provides direct support to management. Scheduling appointments and maintains calendar.
  • Handles travel arrangements. Compose variety of correspondence and materials.
  • Prepares reports and presentation material. Proofreading and additional admin duties.
  • Screening phone calls and visitors. 3-4 years experience.
  • Calendar management in google suite
  • Manage the daily operations of the Vice President for Alumni Relations, maintaining the timely and effective flow of information to and from the VP’s office to both University and alumni constituencies.
  • Ensure that the VP is provided with all information necessary to make informed decisions. Ensure that office communications are appropriate, effective, and timely.
  • Effectively manage the VP’s calendar to maximize time and attention, and ensure that issues are proactively identified and resolved.
  • Develop and maintain a detailed calendar for the VP. Coordinate and schedule appropriate and timely meetings.
  • Support the VP through effective organization and time management, maximizing logistical opportunities.
  • Serve as initial contact with top alumni and volunteer leaders for communications and problem resolution.
  • Initiate, draft, review, and revise correspondence. Coordinate correspondence, providing necessary research on all requests and problems.
  • Coordinate all travel by the VP. Secure appointments as required, both internally and externally.
  • Prepare itineraries and make all travel reservations. Prepare necessary supporting documentation and briefing materials for trips.
  • Organize, prepare and file travel expense reports. Compose and send appropriate thank you letters and follow-up correspondence

Job Responsibilities:

  • Administrative office and/or exec assistant experience
  • 3+ years
  • Bachelor’s Degree, or equivalent combination of education and experience
  • Expertise in Microsoft and Google platforms, especially Google calendar and email, Google docs,
  • Microsoft Word, Excel, PowerPoint
  • Professional, poised, able to interact with a variety of people at all levels, efficient, able to multi-task and pivot as necessary
  • Calendar management; attention to detail; efficient and responsive, with ability to respond to inquiries on behalf of VP
  • Ability to work in Google platform, and with Microsoft tools is important (more than just “nice to have”)
